This policy explains what information the Road Inspection app and its server collect, why, who can see it, and how you can ask us to delete it. The app is used by authorised personnel to inspect roads, record road-safety audits and manage project documents.
The Road Inspection App is published by Dr. Rohit Ahuja.
| Information | When | Why |
|---|---|---|
| Email address and, if provided, your name | When an account is created for you and when you sign in | To identify you, send you a one-time login code, and show who did what in a project |
| One-time login codes and session information (a session token, sign-in time) | When you sign in | To verify it is you and keep you signed in. The token is stored on your device and, in hashed form, on our server |
| Camera images | Only when you start Live Detection with your device camera | Frames are sent to our server to detect road damage (cracks, potholes) and road signs. We do not use the camera for anything else |
| Audio recordings (safety-audit commentary) and their text transcripts | Only when you record or upload commentary | To produce the audio and chainage reports for a safety audit. Transcription runs on our own server |
| Videos, documents, drawings and photos you upload | When you upload them | To run detection, produce reports and store project files |
| Survey and detection data: road and highway details, chainage, detections, severity, reports, maintenance tasks, and latitude/longitude associated with detections | When you run a survey, audit or detection | To produce reports and maps. We do not read your phone’s GPS location |
| Technical and security logs: IP address, request time, device/app request details | Automatically, whenever the app talks to our server | To keep the service secure, limit abuse (for example repeated failed logins), and fix problems |
| “Remember me” email | If you tick it | Stored only on your device so we can pre-fill the sign-in box |
We do not sell your personal information, and we do not share it for advertising.
| Service | What it receives |
|---|---|
| Hosting provider: Railway (Railway privacy policy) | Runs our server and stores the data described above |
| Email delivery provider (used only to send login codes) | Your email address and the login code message |
| OpenStreetMap tile servers (map display) | When a map is shown, your device requests map images directly from OpenStreetMap, which can see your IP address and the area viewed. See the OpenStreetMap privacy policy |
The app contains no advertising SDKs, no analytics SDKs and no crash-reporting services from third parties.
We keep your information for as long as your account is active. If your account is closed, or you ask us to delete your data, we delete or anonymise it within 30 days, except where we must keep something to meet a legal obligation or to protect the security of the service. Backups are overwritten on their normal cycle.
You can ask us to give you a copy of your data, correct it, or delete your account and associated personal data. To make a request, email us at the address below from the email address registered to your account. We may need to verify your identity first.
To delete your account and data: email road.project@thapar.edu with the subject “Delete my account”. We will confirm and complete the deletion within 30 days.
Data you added to a shared project (for example survey reports) may be retained in anonymised form so that other members’ records stay complete.
No system is completely secure. If you believe your account has been compromised, contact us right away.
The app is intended for professional use by adults. It is not directed at children under 18, and we do not knowingly collect their information.
We may update this policy. The “Last updated” date at the top shows when it last changed. If a change is significant we will tell you in the app or by email.
